What is a youth congress?The Youth Congress is held every four years with the first being held over 25 years ago. Every four years a host country is selected and the Zoroastrian youth of that country come together to organise this event. Over the years these congresses have brought together hundreds of Zoroastrian youth and enabled them to meet others, whom they may not have had the opportunity to network with previously, as well as collaborate and work towards the challenges we face as a community. The intended age of these youth range from 18 to 35 years of age. To find out more click here

Where is the congress being held?The congress will be held at the 4* Radisson Blu Edwardian Heathrow Hotel Radisson Blu Edwardian Heathrow Hotel & Conference Centre, London 140 Bath Rd, Harlington, Hayes UB3 5AW Phone: +44 (0) 20 8759 6311 https://www.radissonhotels.com/en-us/hotels/radisson-blu-edwardian-london-heathrow Please review the Hotel’s policies as well as regulations related to COVID-19 prior to making your room reservations. All registrants must abide by the Hotel’s policies and regulations for the duration of the congress. A special rate has been negotiated with the Hotel for 8WZYC2023 registrants and rooms and choices are both subject to availability. There are limited rooms reserved at these negotiated rates.

How old do I have to be to attend the congress?All participants must be between the ages of 18 and 37 years of age as of the first day of the Congress on 21st July, 2023 Participants must be born between 21st July 2005 and 21st July 1986 The organisers reserve the right to cancel the registration without refunds if any participant is found to be born outside of the above date range Unfortunately it is the decision, like with most other youth congresses, that the minimum age is 18 at the start time of the congress itself and it is our decision to enforce this for our congress. This is due to liability issues especially with events with alcohol etc and we do not want to expose ourselves up to this liability when these individuals are under age. Also if we make an exception for one individual we have to do for the rest of the wider Zoroastrian community so have to draw a line somewhere as I am sure you understand. The person in question however will be able to attend many future youth congresses and world congresses (which have no age limitation).

Nearest AirportThe nearest airport is Heathrow which is less than 15 minutes drive away from the Radisson Blu Edwardian Heathrow Hotel. You can access the hotel easily by Uber, taxi or bus from any Heathrow Airport Terminal. Heathrow airport is the main ariport for the UK/ London and caters to most international airports and hubs

When should I arrive and leave the congress?Congress activities start on the evening of the Friday 21st July itself. Your registration fee will cover your accommodation starting from this day, if you choose to arrive earlier than the 21st you will have to pay separately and choose your own accommodation as this is not included in our registration price. Check in is normally at 3pm however if your room is ready earlier, you will be allowed to check in at an earlier time. We will not be able to confirm this however until the day. If you do choose to arrive on the Friday itself, we recommend arriving as earlier to ensure that you are able to attend the evening's events with plenty of time to relax and unpack. Congress activities will end Tuesday 25th July night with our final closing gala however, your ticket cost includes accommodation for the 25th night. Wednesday 26th July will be the day you check out and there are no events taking place this day. This is the last day your registration ticket will include the cost of your accommodation so if you wish to stay in the UK 26th night and onwards you will have to book and sort your own accommodation. Any activities outside of the congress duration will have to be organised by individuals themselves. We choose to leave this open for delegates to create their own plans with others they may have met at the congress and we are also aware that everyone has different availabilities and flights home.

We will hold entertainment activities, panel talks, days out and networking and relaxing opportunities. Can I get financial help for subsidising my ticketWe have reached out to local anjumans and associations to work at subsidising local delegates costs. Unfortunately as we are a far smaller congress and have far less sponsors and funds than other larger Zoroastrian congresses so we cannot do a formal program like ZYAB in NYC to allocate specific funds for delegates. I am sure you can appreciate that the scale of our congress and funds do not allow us to have as extensive of a program which is why we have made sure our overall price is more affordable (more than half the cost of some other congresses) and fully inclusive of all activities and meals unlike other previous congresses. I would recommend reaching out to your local association and seeing how they can help with the cost and subsidising tickets as many associations have already started fundraising efforts and have put into place plans to subsidise local delegates costs

I live in the UK/ London, do I still need to stay at the venue?Your registration price is inclusive of your hotel accommodation. We request that all delegates stay at the venue itself as to get the full experience of the congress and participate in activities. There will be no separate registration fee for those who do not want to stay at the venue and rooms will be allocated to each confirmed registrant.

Please see our registration page for more of a breakdown on room types and the early bird and standard rates for each We have 4 types of rooms for you to choose from. TRIPLE - 3 delegates sharing DOUBLE - 2 delegates sharing TWIN - 2 delegates sharing SINGLE - 1 delegate As a delegate, you will be required to share your room with another delegate unless you opt for a single room, where you will have the whole room to yourself. You have the option to either specify who you would like to share with ( 2 other individuals for a triple room or 1 other for a double or twin) or not specify anyone and in this instance us as the congress organisers will allocate you someone. You will have to note down the full name of the other individuals in your registration form who you wish to share with. Please note that these individuals must all register and pay for the congress and the same type of room as you as well as put your name down. If they do not, we cannot guarantee you will be put with your chosen individuals and instead will be placed with other delegates at the discretion of the congress organisers. For this we will ensure all rooms are comprised of delegates of the same sex and of a similar age range.

What sights will be covered in the London event day?The city tour is a self-tour and a free evening so delegates are free to go into London at their own leisure. We will drop all delegates into London and then delegates can visit the desired sights. We will not be including any sightseeing specifically in this congress so if you would like to visit London tourist attractions, please make separate plans of your own

Do you sell the Gala tickets at the door?Unfortunately, the gala is part of the full congress ticket and not sold individually and is only for the full congress delegate only

When is the next youth congress?After this youth congress held in London in 2023, the next youth congress will be held in India in 2027 and will be organised by the Indian youth committee.

How do I obtain a visa letter for the 8WZYCWe are happy to provide visa letters for those who need for the upcoming 8WZYC. Should a delegate require a visa for entrance to attend the 8WZYC in United Kingdom, the Hosts and Organising Committee will issue a referee letter to the delegate. For the most comprehensive list of countries requiring a visa or more information, please visit UK Government Visa website To do this, you must have registered and paid for the event. By doing this you will have an allocated registration number which can be included in your visa letter and enable us to cross reference your details. Only once you have paid for the registration and received confirmation and your ticket, please complete the form by clicking here: https://forms.gle/ZELCekptKYHvicrt9 After submitting the form, please ensure you send a scanned copy of the first and last pages of your passport and Congress Registration ticket in PDF format to ruzbeh.hodiwala@gmail.com with a copy to malcolm_deboo@yahoo.co.uk and registration-8wzyc@ztfe.com with the subject "8WZYC Visa Letter Request- YOUR NAME" Your email should also contain- Congress delegate registration ticket number (on the ticket that is emailed to you after you have registered) Full name in passport Address in country of residence Date of birth (DD/MM/YYYY) Passport issuing country Passport Number Expiry Date of Passport Current country of Residence Current residential address Any other specific details needed Kindly forward your documents only after you have submitted the form. I have registered and paid but my visa application has been rejected, do I get a refund?Refund are issued on a case by case basis. However, if you have registered and paid for the congress but been rejected for your visa we will look into granting a partial refund to individuals. Any registration cancellation requests will be accepted by email to registration-8wzyc@ztfe.com Kindly mention “Cancellation Request” in the email subject and include your registration Confirmation # and full name in the email as well as reason for cancellation and proof to accompany. Amount of refund, as outlined below, will be issued in Great British Pounds in the same form (credit/debit card or check) as payment was received, except when refund is issued beyond the time limit permitted on the credit card, in which case the refund will be issued by check. Applicable bank charges will be deducted from all refunds and amount of refund will be as follows: A) Cancellation email received on or before May 31, 2023, related to non-receipt of visa by registrant: Refund will be issued after deducting a 15% administrative fee, subject to verification of proof. When will registration open?Registration will open on 18th November 2022. Register your interest and be the first to know when registration opens though by pre-registering on our website here When registration opens you will be able to fully register by completing the registration form and pay for your congress ticket.

When will registration close?Registration and tickets are allocated are on a first come first serve basis. We will not be reserving any tickets so once allocated to a delegate they are gone. We estimate that tickets will be quickly snapped up due to a large interest in delegates coming for the event so please make sure if you want to attend the 8WZYC, you register and pay for your ticket ASAP. Registration has now closed as all tickets have sold out. Please note that your place at the congress is only confirmed once you have registered AND paid for the event.

Can I still get a ticket to the 8WZYC?Unfortunately registration has completely closed as we have completely sold out of tickets. We also have a waitlist nearing 500 individuals which we have also had to close due to such increased demand. At this point in time unfortunately you will not be able to purchase a ticket for the youth congress. The only way is to have put your name in the waitlist which is now closed or register when registration first opened. Sorry for the disappointing news but we have had an overwhelming demand and have to prioritise individuals, should tickets become available, on the waitlist now.

I am on the waitlist, when will I hear back if I have a ticket for the 8WZYCWe will of course let you know if a ticket is available to you, until then, you are not registered nor confirmed for the 8WZYC so please do not make any travel arrangements etc. We appreciate that you want to make summer plans or perhaps book time off work however we cannot give a timeframe on this either as we are going through our waitlist of more than 450 delegates and allocating tickets based on sign up from this- this could be next month, could be in a few months it is just dependent. Unfortunately, we cannot give you any more guidance on a timeframe nor can we confirm nor deny that you will be allocated a ticket at this point in time or in the future. Please in the meantime keep an eye on your inbox and we will let you know if a ticket is available to you to register accordingly and full payment will be taken at this point.

Is this event included for those already registered?This event is an add on to the original congress itinerary and therefore is an extra cost to delegates. This is an optional event and it is down to the individual if they choose to attend.

Is there another event going on instead of the add on event?There will be no alternative entertainment going on at the same time as the add on event. Delegates are free to use this time how they wish whether that be stay at the hotel or even go out and explore London themselves.

Will you issue me a visa letter for this add on eventUnfortunately we are not able to provide a visa letter solely for this event. Visa letters will only be issued for delegates attending the full congress from the 21st to 26th July

Insurance PolicyRegistrants are responsible for and strongly recommended to purchase their own medical and travel insurance including event registration protection. Should registrants choose not to obtain medical and travel insurance, they do so at their own discretion and 8WZYC Organizers will not be held financially responsible.

Cancellation and Refund PolicyCancellation and Refund Policy- While we understand that sometimes delegates will need to withdraw their attendance at the Congress at late notice, we are required to confirm and pay for accommodation, catering and activities in advance of the Congress. We therefore encourage registrants to review all applicable travel, visa, and other requirements/regulations prior to completing their registration to minimize registration cancellation requests. For that reason, we will only be issuing refunds on a case-by-case basis or medical emergencies and visa cancellations. (All require proof). Tickets and registration place cannot be transferred to another delegate and each individual will have to go through the cancellation/ refund policy and separate individual will have to buy their own ticket. Any registration cancellation requests will be accepted by email to registration-8wzyc@ztfe.com Kindly mention “Cancellation Request” in the email subject and include your registration confirmation ticket # and full name in the email as well as reason for cancellation and proof to accompany. Please ensure that you have valid travel insurance that covers your fee if you should contract any illness including COVID and thus cannot travel. We cannot accept that as a valid reason to refund but will examine all claims on a case-by-case basis.

Medical PolicyAll delegates with any pre-existing medical condition (including allergies) must let the organizers of the conference know of their condition and clearly state their circumstance and if they should not participate any activities or require special accommodation. This information should be provided in your individual registration form for the congress organisers.

Drugs and Harassment PoliciesDrugs and Harassment Policies This is strictly a drug and harassment free event. This policy will be firmly enforced for ALL registrants. By filling out the registration form as a delegate, you are agreeing to abide by this. Should you be found with drugs at the Congress venue, you will be asked to leave the premises. Congress officials may be required to involve Police if any criminal offending is detected. The Organizers of the 8WZYC are committed to creating and maintaining this global event where all individuals who participate in the program and its activities can work and learn together in an atmosphere free of harassment, exploitation, intimidation or discrimination. Every participant should be aware that the organizers strictly prohibit sexual harassment and sexual violence and such behaviour is in violation of both United Kingdom law and the policy of congress venue will respond promptly and effectively to reports of sexual harassment and sexual violence, and will take appropriate action to prevent, to correct, and when necessary, to discipline behaviour that violates this policy.

Registration ConditionsRegistration Information 1. Registration for this event is open to all global practicing Zoroastrians from ages 18 to 37 (as of July 21st, 2023) only- 2. All delegates must complete a Registration Form. 3. By submitting a Registration Form, registrant(s) acknowledges to have read the registration information and terms and conditions set out below. 4. Confirmation of registration is subject to the completion of all required information on the Registration Form and full payment of the registration fee. 5. Organizers reserve the right to close/modify registration at any time for any reason. 6. Registration is inclusive of- a. Programme for duration of congress b. Accommodation c. Merchandise Registration Form and Payment Options Registrants requiring a Visa to enter the UK, please check with the British Consulate or British High Commission in your country of origin prior to registration. All registrations are to be completed ONLINE only and must complete the registration form in full. At the time of online registration, you will have to make payment of the registration fees in full. You will have the ability to make a secure online payment with a valid credit/debit card. Once you have successfully completed the registration process, you will receive an email confirmation for your registration and a receipt invoice for the amount paid. Please note your Confirmation ticket number and save or print the registration confirmation for your record. You will also be issued a QR code ticket, please have this available when checking-in for the event itself.
